The secretary is responsible for the reservations of rooms and vehicles for RoboJackets, reporting attendance information to the College of Computing, and organizing general meetings and socials, the leadership retreat, cookouts, and any other RoboJacket wide social events. The Secretary will also improve and keep the wiki up to date.

Booking Vehicles and Rooms

The secretary is responsible for booking rooms and vehicles for all RoboJackets meetings and competitions. Currently there is a reservation form that RoboJacket members can fill out to request a reservation. More information for this can be found in How to Reserve a Room and How to Reserve a Vehicle.

Social Events and General Meetings

The secretary will plan the RoboJackets-wide social events, including the leadership retreat, semesterly cookouts, and occasional socials that take place instead of general meetings. This involves collecting RSVPs, reserving the correct venue, ordering food if appropriate, and helping to run the event.

The secretary will also set up general meetings during which, traditionally, the secretary will find a guest speaker (ie. Professor to talk about research, a sponsor to talk about their company, etc...), and then have the project managers give a 5 minute report on their teams progress for the rest of the meeting.

Tracking Membership and Attendance

At meetings, members will swipe their buzzcards and select a team; this information will be stored in my.robojackets.org under "Admin". The secretary will manage the distribution of card readers. Every two weeks, this information should be compiled and sent our CoC contact by adding to the shared OneDrive folder. If buzzcard readers aren't available, attendance should be taken on our official attendance sheets which will be entered by the PM present or the secretary.

Wiki Maintenance

The secretary is responsible for keeping the wiki page up to date and organized. This entails contacting PMs to update competition pages and doing general housekeeping throughout the year.
