=== BuzzCard Access (SCC, Shop, 575 14th Common Areas) ===
575 14th Street is active on the new S2 access control system as of January 2021. '''Anyone needing door access must have a BuzzCard issued in 2015 or newer (blue banner on the front, no barcode).''' Anyone with an old BuzzCard can visit the BuzzCard Center and get a new card ''for free'' upon surrendering their old one.

Access for members is granted to one of two "access packages". Individuals should never be in both.
* '''575F-GRP SCC without RoboJackets'''
** Access to all SCC areas, exterior building doors, parking gate, etc.
** Use this one for general members
* '''575F-GRP SCC with RoboJackets'''
** All listed above, plus access to the RoboJackets shop
** Use this one for Core or anyone else needing access to the shop and all other SCC areas

To export the list of GTIDs, follow [https://my.robojackets.org/docs/officers/users/#export-buzzcard-access-list these instructions from the MyRoboJackets documentation].

Names do ''not'' need to included in the CSV, just GTIDs, per guidance from BuzzCard staff 01/2021.

*Email facilities@me.gatech.edu the above CSVs, explaining which CSV is for which access package.
*CC Facility Advisor Dr.Hammond on the email, who should then to the email saying "Approved"
*Only CC Dr.C if there is an issue with the process that Dr.Hammond cannot solve
*ME Facilities will only grant access once approval is received from Dr. Hammond.
== About Google Workspace accounts ==
These accounts are more or less full-fledged Google accounts, with the following important differences:
* Any and all data associated with the account is wholly owned by RoboJackets, and may be accessed by RoboJackets IT at any time without any notice to you. Do not store personal or sensitive information in your account. You can read more about administrative data access [https://support.google.com/accounts/answer/181692?hl=en here].
* Some Google services are not available, including but not limited to YouTube, Google Groups, Google Play and Google Voice. Exceptions may be granted as needed - you may request them in #it-helpdesk.
* You will not be given a password to the account - instead, your Georgia Tech account will be registered as the owner and you will be able to log in using the Georgia Tech Login Service.
** '''No Google service will ever ask you for your GT account credentials.''' If authentication is needed, you will be redirected to [https://sso.gatech.edu/cas/login?service=https://login.robojackets.org/ sso.gatech.edu]. (If you're already logged in to your Georgia Tech account, the entire process will happen transparently to you, and you won't be prompted for credentials at any point.)
* That account will have access to certain Google Workspace-only applications and features, such as [https://meet.google.com/ Google Meet] and [https://gsuite.google.com/learning-center/products/drive/get-started-team-drive/ Shared Drives].

To receive SGA funding, we are required to collect dues from our members. Our dues are managed electronically through [https://my.robojackets.org MyRoboJackets]. For collecting for a trip fee or other payment, the procedure is the same, but look for a Travel Assignment rather than a Dues Transaction.

To accept dues, you must be an officer or a project manager.

To record the payment, open MyRoboJackets' [https://my.robojackets.org/nova admin page] and search for the last name of the person who is paying. On their user page, scroll down to dues transactions and click the view symbol at the far right on the top row, which should say the relevant dues package. ('''Do not press the create dues transaction button.''') If the user does not have the correct package in that table, ask them to log into MyRoboJackets themselves and fill out the dues form on the homepage. Under the three dots menu in the top right on the dues transaction page, click Add Payment. Fill out the form and press "Run Action". This marks the payment recorded. They will receive an email receipt.

After verifying the payment is recorded, write a paper receipt for them. The receipt booklet is in the lockbox in the corner of the shop by the 3D printer. Ask the treasurer for the combination. You must write a receipt regardless of whether they want it, for RoboJackets' records. '''Make sure you only write on top of the main copy and one sheet of the transfer paper.''' Fill out their name, the amount, whether it was cash or check, the purpose (dues, trip fee, etc.), and your name. Give them the white copy if they want it. Place their cash or check in the cash box, and make sure to re-lock it once you're done.
Google Meet is a more business-oriented edition of Hangouts available to Google Workspace customers, including RoboJackets. We use it for larger remote meetings, including Core meetings during the summer. '''Note that you will need a [[Google Workspace Accounts | RoboJackets Google Workspace account]] to set up a meeting.'''

=Comparison to Hangouts=
*Google Meet supports up to 100 participants compared to 10 for Hangouts.
*Users without a RoboJackets Google Workspace account must be explicitly invited to the meeting in advance, or ask to join and then be approved by someone with a Google Workspace account. With Hangouts, anyone can join using the link.
*Any participant can mute any other participant by clicking the microphone icon next to their avatar.
*Users may join via phone using the dial-in number and PIN provided.

=How to schedule a meeting in advance=
#Visit [https://calendar.robojackets.org calendar.robojackets.org] and create an event.
#In the '''Video call''' section, click "Add video call".
#Add guests using the right sidebar. Note that you should only add Gmail addresses, otherwise they won't be able to join directly.
#Click Save.
Guests will be able to view the meeting the day of at [https://meet.google.com meet.google.com]. They'll also be to join the meeting using the direct URL or meeting code without approval.

=How to start an impromptu meeting=
Visit [https://meet.google.com meet.google.com] and click "Start a new meeting". You can then distribute the link to participants. Note that unless they have a Google Workspace account, you will have to manually approve them as they join - you'll hear a ding and [[:File:Google_Meet_confirmation_prompt.png|a notification box]] will appear.
Kberzinch3https://wiki.robojackets.org/index.php?title=Google_Workspace_Accounts&diff=20350Google Workspace Accounts2022-03-05T19:54:50Z
Kberzinch3: Replaced G Suite with Google Workspace

We occasionally receive requests for people unaffiliated with Georgia Tech to join our organization. This page documents the reasons we do not accept members that are not already members of the Georgia Tech community.

==Joint Campus Organization Committee policy restrictions==

As RoboJackets is a chartered student organization, we are subject to JCOC policy, including membership restrictions.

JCOC Policy revised March 29, 2019, Art 2 § 3.A restricts membership eligibility for chartered student organizations as follows:

1. Membership of a chartered student organization is limited to students as defined by these three types of members.
:a. Co-op students in the Atlanta metro area may be considered full-time Georgia Tech students for the purpose of membership.
:b. Students from institutions affiliated with the Georgia Institute of Technology that also pay the Georgia Tech student activities fee are considered Georgia Tech students for the purpose of this policy.
:c. Students that pay the student activities fee and are eligible for participation in extracurricular activities as defined by the Georgia Tech student handbook.

==Student Government Association Joint Finance Committee policy restrictions==

RoboJackets receives considerable funding from the Student Government Association, including for travel, and so we are subject to JFC policy for a large percentage of our budget.

JFC policy revised September 24, 2019 allows for non-student members with the following restrictions:
* Non-students who are members of Tier III organizations shall be charged a membership fee of no less than two times the student rate. (Art 6 § 2)
* No budget or bill shall allocate funding for...any travel expense for a non-student (Art 8 § 1.a.j)

==Logistical challenges==

People without a nine-digit Georgia Tech ID number are not able to access our facility without assistance, log in to the wireless network, or use any of our Internet-based resources, including our dues payment system.

People that are not already affiliated with the Institute create a liability risk in our facility as the equipment we use for manufacturing is inherently dangerous.

==Standing RoboJackets policy==
In an attempt to meet the above policy requirements and logistical challenges, our standing policy for membership is as follows:
* People that have not been issued a nine-digit Georgia Tech ID number are not eligible to be members, with no exceptions.
* Undergraduate or graduate students taking courses only online are not eligible to be members as they do not pay the Student Activity Fee as required by JCOC policy.
* Any currently enrolled undergraduate or graduate student at the Georgia Tech Atlanta campus in good standing with the Institute is eligible to be a member with no restrictions.
* People with a nine-digit Georgia Tech ID number that have previously paid both the Student Activity Fee and RoboJackets dues in the same Institute fiscal year are permitted to continue paying dues indefinitely to maintain access to our Internet-based resources. To comply with JFC policy (Art 6 § 2), we will charge double the student rate for dues. To comply with JFC policy (Art 8 § 1.a.j), we will not fund any travel for people in this category whatsoever. JCOC policy previously called this "affiliate membership" though the classification was removed in a recent revision to the policy.
* Any person not matching any of the above criteria exactly may contact us at [mailto:hello@robojackets.org hello@robojackets.org] to discuss their situation. To date, RoboJackets has not accepted any members that do not meet the third or fourth category, and we expect that trend to continue.

==Logistical challenges==

People without a ten-digit Georgia Tech ID number are not able to access our facility without assistance, log in to the wireless network, or use any of our Internet-based resources, including our dues payment system.

People that are not already affiliated with the Institute create a liability risk in our facility as the equipment we use for manufacturing is inherently dangerous.

==Standing RoboJackets policy==
In an attempt to meet the above policy requirements and logistical challenges, our standing policy for membership is as follows:
* People that have not been issued a ten-digit Georgia Tech ID number are not eligible to be members, with no exceptions.
* People with a ten-digit Georgia Tech ID number that have previously paid both the Student Activity Fee and RoboJackets dues in the same Institute fiscal year are permitted to continue paying dues indefinitely to maintain access to our Internet-based resources. We will revoke access to our facility. To comply with JFC policy (Art 6 § 2), we will charge double the student rate for dues. To comply with JFC policy (Art 8 § 1.a.j), we will not fund any travel for people in this category whatsoever.

JEDI is a service that synchronizes member information from MyRoboJackets aka Apiary to other RoboJackets-managed services. This enables new members to quickly and easily get access to the services they need, and automatically cleans up access from people who are no longer in RoboJackets. It operates completely transparently to the general membership, and most people will never need to interact with it directly or even know it exists.

Most changes are applied within 5 seconds of the change being saved in Apiary.

This service is fully developed and maintained by RoboJackets IT.

==Supported applications==
The following applications and services receive updates from JEDI.
* GitHub.com
* Nextcloud (RoboJackets Cloud)
* Shared User Management System (SUMS)
* WordPress (RoboJackets.org)

==What changes are made to applications?==
This section broadly describes what effects JEDI has on other applications as of the time of this writing. It is subject to change based on business needs.

Note that accounts in systems are never ''created'' by JEDI; instead, the account is created when the member logs in for the first time.

===When a member pays dues===
* They will be added to the RoboJackets billing group in SUMS.
* They will be invited to the RoboJackets organization in GitHub, if their account is linked. The invitation will include any teams that match the names of those in Apiary (e.g. if the member is in the IGVC team in Apiary, they will be invited to the IGVC team in GitHub.)
* Their Nextcloud account will be enabled, if it already exists. Team membership will be synchronized with Apiary.
* Their WordPress account will be enabled, if it already exists and they are in the appropriate group.

===When a member's access expires===
This typically happens when a member stops paying dues. There is a configurable grace period, typically set to the following dues deadline (e.g. paying dues for fall gives you access until the spring dues deadline.)
* They will be removed from the RoboJackets billing group in SUMS.
* They will be removed from the RoboJackets organization in GitHub, if their account is linked.
* Their Nextcloud account will be disabled, if it exists.
* Their WordPress account will be disabled, if it exists.

===When a member joins or leaves a team===
Note that due to a bug in Apiary, team changes made in the admin panel do not trigger updates. Users with sufficient permissions can force a sync using the "Sync Access" action available on users.
* Their Nextcloud groups will be synchronized.
* They will be added to any applicable teams in GitHub, if their account is linked. Note that GitHub team removals are currently not automated for architectural reasons.
* Their Nextcloud groups will be synchronized.
* They will be added to any applicable teams in GitHub, if their account is linked. Note that GitHub team removals are currently not automated for architectural reasons.

JEDI is a RoboJackets service that synchronizes member information from MyRoboJackets aka Apiary to other RoboJackets-managed services. This enables new members to quickly and easily get access to the services they need, and automatically cleans up access from people who are no longer in RoboJackets. It operates completely transparently to the general membership, and most people will never need to interact with it directly or even know it exists.

This service is fully developed and maintained by RoboJackets IT.

==Supported applications==
The following applications and services receive updates from JEDI.
* GitHub.com
* Nextcloud (RoboJackets Cloud)
* Shared User Management System (SUMS)
* WordPress (RoboJackets.org)

==What changes are made to applications?==
This section broadly describes what effects JEDI has on other applications as of the time of this writing. It is subject to change based on business needs.

Note that accounts in systems are never ''created'' by JEDI; instead, the account is created when the member logs in for the first time.

===When a member pays dues===

===When a member's access expires===
Trello is a project management tool, which allows you to keep track of tasks, see what tasks others are working on, and have a general overview of all tasks.

== How to use Trello ==

#If you don't already have a Trello account, sign up for one at [https://trello.com/signup https://trello.com/signup]
#Join the RoboJackets Trello organization. Typically, a invite link can be found in the topic for the [https://robojackets.slack.com/messages/C033JPZMK #general] channel in Slack, but if not, you can ask for one in the [https://robojackets.slack.com/messages/C29Q3D8K0 #it-helpdesk] Slack channel.
#Once you're in the organization, you should join the boards that are relevant to you, such as your team's boards.
#For detailed instructions, follow Trello's getting started guides:
#* [https://trello.com/guide/board_basics.html Board Basics]
#* [https://trello.com/guide Guide]

== General Tips ==

#When you start a large project, it's usually best to have a Trello card for it. Create this Trello card in the subteam board it applies to, and under the correct category within that board.
#Add members who are working with you on this project to the card.
#Add labels that apply to the card's contents.
#If a card has multiple parts to it, you can create a checklist for each subtask, and check them off to show progress.
#Add a due date to the card. For events, this is the start time of the event.
#When you have completed the task, archive the Trello card.
Kberzinch3https://wiki.robojackets.org/index.php?title=How_to_create_a_calendar_event&diff=17461How to create a calendar event2019-01-12T23:51:09Z
Kberzinch3: Add IT category

The RoboJackets calendar is managed through WordPress along with the rest of our website. Here are the steps to create a new calendar event.

# Visit https://robojackets.org/wp-admin. This will send you through GT Login if you're not already signed in. If you get an error message, stop and contact RJIT with your GT username.
# Click '''Events''' in the left sidebar.
# Click '''Add New''' at the top of the page.
# Fill in the event title at the top along with the start and end times.
# Set a location for the event (e.g. "RoboJackets Shop")
# Select a category from the right sidebar, otherwise your event will not show up on the website.
# Set a description for the event if appropriate.
