RoboJackets 20th Anniversary Competition was hosted by RoboJackets in the Georgia Tech student center on the 30th of March. It consisted of beetle-weight battle bot, lego-sumo, and Roboracing competitions as well as a show case for our 120 pound bots Mandiiii and Cassowarii (middle-weight). We had some local teams attend as well as some from out of state. The beetle-weight tournament was fought as a Double-Loss Bracket Style tournament, where every team is guaranteed two matches.

As we are a student organization under the College of Computing, we are required to record attendance at our meetings. In the past this was done with paper attendance sheets; however, attendance is now recorded electronically through [https://my.robojackets.org MyRoboJackets].

MyRoboJackets allows you to record attendance for both In-person and Remote meetings. Review the section below for your meeting type for complete instructions.

'''To record attendance, you must have a team lead, trainer, project manager, or officer role in MyRoboJackets.''' However, to see training teams, you '''must''' have the trainer role. If you need access, please ask in [https://robojackets.slack.com/app_redirect?channel=it-helpdesk #it-helpdesk] on Slack.

==In-person==
'''Note:''' For in-person meetings in the shop or Student Competition Center, use the shop attendance kiosk to record attendance.

There are two ways to take attendance at an in-person meeting (that is outside the shop/SCC) using MyRoboJackets:

# Using a physical (magstripe or contactless) BuzzCard reader connected to a laptop or phone
# Using the MyRoboJackets Android app

===Using a Physical Card Reader===

# Prior to your meeting, obtain a USB BuzzCard reader from the shop. Contactless (NFC) readers are preferred, but magstripe readers work fine as well.
# At your meeting, go to https://my.robojackets.org/nova/resources/teams.
# Find the team you want to record attendance for and click the view (eye) button to view it.
# Scroll down to the '''Collect Attendance''' panel.
# '''Important:''' Click in the text field under '''Swipe a BuzzCard or enter a GTID number'''. Ensure that this field is empty.
# Connect the USB magstripe or contactless BuzzCard reader.
# For each person you would like to record attendance for, make sure the textbox is highlighted, then swipe their BuzzCard. The name of the BuzzCard's owner will appear below the textbox.

If you need help, feel free to ask in [https://robojackets.slack.com/app_redirect?channel=it-helpdesk #it-helpdesk].

===Using the MyRoboJackets Android App===

'''Note:''' MyRoboJackets Android is still in beta. You may encounter bugs or other crashes, and feedback is greatly appreciated. Please post in [https://robojackets.slack.com/app_redirect?channel=apiary-mobile #apiary-mobile] with all questions, concerns, suggestions, and general feedback. You may also use the Make a Wish form located in the Settings screen within the app.

The app also has a few requirements:
* Your phone must support NFC.
* Your phone must be running Android 7 (Nougat) or newer.

To record attendance using MyRoboJackets Android:
# For the time being (as of September 8, 2021), access to the MyRoboJackets Android app is limited to pre-authorized users. While we work on getting the app publicly available on the Google Play store, please send a message in [https://robojackets.slack.com/app_redirect?channel=apiary-mobile #apiary-mobile], and we'll grant you access to our internal test release track on Google Play.
# '''Enable NFC on your phone ''before'' opening the MyRoboJackets app.''' Right now, the app will crash immediately if you open it with NFC disabled.
# If you haven't already done so, install the MyRoboJackets Android app on your phone and sign in.
# The first screen you'll see allows you to select a team or event to take attendance form. Follow the prompts to pick the appropriate team or event.
# A new screen will appear that says "Tap a BuzzCard." For each person you want to record attendance for, touch their BuzzCard to your phone until you feel it vibrate and the screen in the app changes to "Processing..." See below for additional tips if you're having trouble. If the app won't recognize a BuzzCard or someone forgot their BuzzCard, tap '''Enter GTID manually''' and enter their GTID to record their attendance. If a valid BuzzCard consistently displays an error message, please reach out in [https://robojackets.slack.com/app_redirect?channel=apiary-mobile #apiary-mobile] so we can debug the issue.

MyRoboJackets Android uses near-field communication (NFC) to read data off of BuzzCards. Below are some tips to get consistent, successful BuzzCard reads:
* If you have a particularly thick case on your phone, try removing it.
* Use your preferred search engine to look up "<your phone model> nfc sensor location" to find out where your phone's NFC sensor is. You'll have the best luck with getting the app to recognize BuzzCards if you place the BuzzCard so it is touching your phone and centered over your phone's NFC sensor.
* If you've ended up in a "dry spell" and the app isn't recognizing any BuzzCards after recognizing some, try pulling away the BuzzCard for a few seconds, and then try again.

If you need help, feel free to ask in [https://robojackets.slack.com/app_redirect?channel=apiary-mobile #apiary-mobile].

==Remote==

'''Note:''' The use of Remote Attendance Links for in-person attendance is strongly discouraged except as a last resort because it is likely to lead to lower accuracy attendance data. If you have no other way to take attendance at an in-person meeting, however, we suggest distributing a Remote Attendance Link to the people in the room only and not sharing the URL in Slack (a URL shortener such as [https://bit.ly bit.ly] would work well).

MyRoboJackets can create unique, short-lived links to allow you to record attendance at virtual meetings. If you provide a video call join link when creating the attendance link, MyRoboJackets will automatically redirect users to the video call after they click the link.

Follow these steps to create a remote attendance link (RAL):

# Go to https://my.robojackets.org/nova/resources/teams.
# Find the team you want to create a RAL for and click the view (eye) button to view it.
# In the '''Select Action''' menu, select '''Create Remote Attendance Link''', and then press the '''Play''' button to run the action.
# If you have a Google Meet, GT Zoom, or Microsoft Teams video call join link, you can paste the link in the '''Redirect URL''' box.
# Select an appropriate '''Purpose''' for the link.
# Click '''Create Link'''. A new page will appear with the link(s) listed. If you provided a video call join link, be sure to copy the '''Auto-redirecting Link'''.
# Share the RAL with the attendees of your meeting. If you are sharing an Auto-redirecting link, do '''''not''''' also share the video call join link directly.

Keep in mind these additional notes about RALs:

* RALs will expire after 4 hours by default.
* As the creator of the RAL, your attendance will be automatically recorded when you create the RAL.
* If you have multiple simultaneous meetings for your team, you can create as many attendance links as necessary.

If you need help, feel free to ask in [https://robojackets.slack.com/app_redirect?channel=it-helpdesk #it-helpdesk].

==Registered Student Organizations Policy Restrictions==

RoboJackets receives considerable funding from the Student Government Association, including for travel, and so we are subject to RSO policy for a large percentage of our budget.

RSO policy revised August 2020 allows for non-student members with the following restriction:
* JFC will not approve funding in an Annual Budget or a Bill for ...any travel expense for a non-student

==Logistical challenges==

People without a nine-digit Georgia Tech ID number are not able to access our facility without assistance, log in to the wireless network, or use any of our Internet-based resources, including our dues payment system.

People that are not already affiliated with the Institute create a liability risk in our facility as the equipment we use for manufacturing is inherently dangerous.

==Standing RoboJackets policy==
In an attempt to meet the above policy requirements and logistical challenges, our standing policy for membership is as follows:
* People that have not been issued a nine-digit Georgia Tech ID number are not eligible to be members, with no exceptions.

* Any currently enrolled undergraduate or graduate student at the Georgia Tech Atlanta campus in good standing with the Institute is eligible to be a member with no restrictions.
* People with a nine-digit Georgia Tech ID number that have previously paid both the Student Activity Fee and RoboJackets dues in the same Institute fiscal year are permitted to continue paying dues indefinitely to maintain access to our Internet-based resources. We will charge double the student rate for dues. To comply with RSO policy, we will not fund any travel for people in this category whatsoever.
* Any person not matching any of the above criteria exactly may contact us at [mailto:hello@robojackets.org hello@robojackets.org] to discuss their situation. To date, RoboJackets has not accepted any members that do not meet the second or third category, and we expect that trend to continue.
This page provides information on the specific rules and regulations within RoboJackets for planning trips. For instructions on how to plan a trip, see [[Planning a Trip]].

==Travel Eligibility==
Members are eligible to attend a trip if they meet all of the following criteria:
# They have paid their dues
# Contribute meaningfully to the team, in the opinion of the Project Manager or President

Associate Members are eligible to attend if they meet all of the above conditions and subject to the below stipulations:
# RoboJackets will not purchase plane tickets on behalf of associate members, in order to comply with GT's RSO Policy prohibiting funding any travel expense for a non-student from the Student Activity Fee

==Travel Fees==
All RoboJackets trips that travel farther than 100 miles from Georgia Tech's Atlanta campus shall charge a fee. Historically, people would sign up for free trips and drop out at the last minute, leaving many unused competition registrations and empty seats in rental vehicles. The specific amount of the fee is left to the discretion of the PM, President, and Treasurer, however the following formula is suggested.

<math>\frac{Total Cost}{10 \times People Going}</math>

Where Total Cost includes all costs, including competition registration, transportation, and lodging.

Fees may be waived for members who cannot afford them at the discretion of the President.

==Approved Allocations==
RoboJackets will allocate funds for any of the following approved expenses:
# Team competition registration fees
# Individual competition registration fees
# Plane tickets
# Rental cars and fuel
# Baggage fees for Robots or equipment
# Shipping fees for Robots or equipment
# Import/Export Fees (Such as an ATA Carnet)

RoboJackets may allocate funds at the discretion of the PM, President, and Treasurer for the following expenses:
# Ground Transportation at competition (I.e. Train/Subway tickets)
Click the run button next to the dropdown. The generated link will be in the "Remote Attendance" panel below. That link can be sent to members; when they click on it their attendance will be recorded. '''That link will only be active for one hour from when you run the action.''' ==Joint Campus Organization Committee policy restrictions==

As RoboJackets is a chartered student organization, we are subject to JCOC policy, including membership restrictions.

JCOC Policy revised March 29, 2019, Art 2 § 3.A restricts membership eligibility for chartered student organizations as follows:

1. Membership of a chartered student organization is limited to students as defined by these three types of members.
:a. Co-op students in the Atlanta metro area may be considered full-time Georgia Tech students for the purpose of membership.
:b. Students from institutions affiliated with the Georgia Institute of Technology that also pay the Georgia Tech student activities fee are considered Georgia Tech students for the purpose of this policy.
:c. Students that pay the student activities fee and are eligible for participation in extracurricular activities as defined by the Georgia Tech student handbook.

==Student Government Association Joint Finance Committee policy restrictions==

RoboJackets receives considerable funding from the Student Government Association, including for travel, and so we are subject to JFC policy for a large percentage of our budget.

JFC policy revised September 24, 2019 allows for non-student members with the following restrictions:
* Non-students who are members of Tier III organizations shall be charged a membership fee of no less than two times the student rate. (Art 6 § 2)
* No budget or bill shall allocate funding for...any travel expense for a non-student (Art 8 § 1.a.j)

==Logistical challenges==

==Standing RoboJackets policy==
In an attempt to meet the above policy requirements and logistical challenges, our standing policy for membership is as follows:
* People that have not been issued a nine-digit Georgia Tech ID number are not eligible to be members, with no exceptions.
* Undergraduate or graduate students taking courses only online are not eligible to be members as they do not pay the Student Activity Fee as required by JCOC policy.
We will revoke access to our facility. To comply with JFC policy (Art 6 § 2), we will charge double the student rate for dues. To comply with JFC policy (Art 8 § 1.a.j), we will not fund any travel for people in this category whatsoever. JCOC policy previously called this "affiliate membership" though the classification was removed in a recent revision to the policy.
* Any person not matching any of the above criteria exactly may contact us at [mailto:hello@robojackets.org hello@robojackets.org] to discuss their situation. To date, RoboJackets has not accepted any members that do not meet the third or fourth category, and we expect that trend to continue.

As we are a student organization under the College of Computing, we are required to record attendance at our meetings. In the past this was done with paper attendance sheets but is now recorded electronically through [https://my.robojackets.org MyRoboJackets].

==In-person==

To record attendance, you'll need a magstripe (Buzzcard) reader. They're kept in the filing cabinet in the corner of the shop by the 3D printer. Then, go to https://my.robojackets.org/nova/resources/teams, if you're recording attendance for a team meeting or training, or https://my.robojackets.org/nova/resources/events if it's for an event. Click on the correct event or team's view button, then scroll down to the "Collect Attendance" panel. Make sure the textbox is highlighted then swipe your Buzzcard. The name of the person who swiped should appear below the box. Project managers, trainers, and officers have access to these pages by default; if you need access, please ask in [https://robojackets.slack.com/app_redirect?channel=it-helpdesk #it-helpdesk] on Slack.

==Remote==

To allow for attendance recording at remote meetings, go to https://my.robojackets.org/nova/resources/teams and select "Reset Attendance Link" under the "Select Action" dropdown. Click the run button next to the dropdown. The generated link will be in the "Remote Attendance" panel below. That link can be sent to members; when they click on it their attendance will be recorded. Generally it's recommended to send it in the chat of the Google Meet call but it can be distributed however it's necessary to.

If you need help, feel free to ask in [https://robojackets.slack.com/app_redirect?channel=it-helpdesk #it-helpdesk].
'''Any and all outgoing funds require a purchase order to be entered into the RoboJackets purchasing system for accounting purposes.''' This document details how to do so. Additional information about purchasing is available on the [[Purchasing Policy]] article.

== Typical order flow ==
#Open the team or general order tracking spreadsheet. '''The treasurer will not assign access to team spreadsheets - contact your project manager instead.''' Elected and appointed officers may be granted access to the general order tracking spreadsheet on request.
#Go to the RoboJackets menu and choose "Add Order" to create a new blank purchase order. A new tab will be added to the spreadsheet at the very end. The status will default to Pending - leave it there until your PO is ready to order.
#Enter the vendor from which you want to order.
#For each part that you want to order, enter the vendor part number and/or a link to the part on the vendor's website, the unit price, and the quantity you want.
#For the account and line item fields, go to the overview sheet and find the Funding Source links to open the general ledger for the fiscal year. Locate the account you want to use, then find a line item description that fits what you're ordering.
#Once you have entered all required information, follow your team's purchase approval process to have the order marked as Ready.
#Your order will be placed with the vendor the following order day, as determined by the treasurer.

== Reimbursements ==
If you are requesting a reimbursement for a purchase you have already made, follow the process above, but mark your order as Ordered or Received as appropriate. Submit complete documentation for your purchase to the treasurer.
Joldenburg6https://wiki.robojackets.org/index.php?title=How_to_Accept_Dues&diff=18367How to Accept Dues2019-09-11T03:19:39Z
Joldenburg6:

To receive SGA funding, we are required to collect dues from our members. Our dues are managed electronically through [https://my.robojackets.org MyRoboJackets]. For collecting for a trip fee or other payment, the procedure is the same, but instead of recording the payment in MyRoboJackets, contact the treasurer to let them know the payment was made (or update it in the collections spreadsheet if you have access to it).

To accept dues, you must be an officer or a project manager.

To record the payment, open MyRoboJackets' [https://my.robojackets.org/nova admin page] and search for the last name of the person who is paying. On their user page, scroll down to dues transactions and click the view symbol at the far right on the top row, which should say the relevant dues package. ('''Do not press the create dues transaction button.''') If the user does not have the correct package in that table, ask them to log into MyRoboJackets themselves and fill out the dues form on the homepage. In the "Select Action" dropdown, pick "Add Payment" and press run. Fill out the form and press "Run Action". This marks the payment recorded. They will receive an email receipt.

After verifying the payment is recorded, write a paper receipt for them. The receipt booklet is in the lockbox in the corner of the shop by the 3D printer. Ask the treasurer for the combination. You must write a receipt regardless of whether they want it, for RoboJackets' records. '''Make sure you only write on top of the main copy and one sheet of the transfer paper.''' Fill out their name, the amount, whether it was cash or check, the purpose (dues, trip fee, etc.), and your name. Give them the white copy if they want it. Place their cash or check in the cash box, and make sure to re-lock it once you're done.

As of 2016, the RoboJackets shop uses BuzzCard access entry. However, shop keys are still required for access to the office, field room, and electrical room. Shop keys are limited, and therefore distributed based on need. Executive officers, project managers, and members holding shop positions, such as electrical room manager, will have priority on shop keys. Priority on all remaining keys will be given to members that work in the shop outside of meeting times, members that often start meetings in absence of the project manager, and members that otherwise demonstrate need for a shop key. Not all shop keys need to be assigned at any given time. Unassigned shop keys should be kept in the RoboJackets cash box. A list of key assignments can be found [https://wiki.robojackets.org/w/PeopleWithKeys here].

The Vice President will be responsible for resolving any conflict regarding key priority and will be responsible for maintaining the list of key assignments. Redistribution of keys should occur at the end of every semester. All members who are graduating or leave the area for the summer must return their keys prior to leaving.
== Competition Summary ==

== Results ==

The overall winner of the Battlebots was the bot Dynastinei, an under-cutter three pound bot made by a Georgia Tech student and former Robojackets member. Almost all of Robojacket's three pound bots passed safety, and Crispi, Groovi, Doori, Unlucki, Entropi, and Furi all won a match (including by forfeit).

[[Category:How to Guides]]
RoboJackets will generally reserve one of 3 types of rooms. The procedures for reserving them are outlined below.

== School of Applied Physiology Room Reservations ==
Applied Physiology conference rooms and classroom are available for reservation at no cost to other building tenants and officially chartered GT Student organizations. Departmental faculty will have priority over all conference rooms. '''A 48 hour advanced notice''' is required for room reservations. Walk-up requests will not be accommodated.

To request a room reservation, send an email to [mailto:reserve@ap.gatech.edu// reserve@ap.gatech.edu] and the building manager (see the RoboJackets internal contact sheet for that address). Include the date, start and end times, and number of people. You will receive a response within 24 hours.

The reservation policy is available [https://wiki.robojackets.org/w/File:AP_Room_Reservations_Policy.jpg here].

== On Campus Room ==
These rooms are reserved for a wide range of events. If not reserved during certain hours, a cleaning cost will be incurred; however, if the College of Computing reserves the room, RoboJackets will not incur the fee. Book these rooms at https://gtevents.gatech.edu/EmsWebApp/Default.aspx at least three days in advance. To get access to that, as in the #it-helpdesk Slack channel.

== SCC Conference Room ==
This room is reserved on the SCC sharepoint calendar: https://gtvault.sharepoint.com/sites/gww/scc/SitePages/Home.aspx.

== AMPF Conference Rooms ==
These two conference rooms are also reserved on the SCC sharepoint calendar at https://gtvault.sharepoint.com/sites/gww/scc/SitePages/Home.aspx. They can be reserved at most five days in advance, with no recurring reservations.
Joldenburg6https://wiki.robojackets.org/index.php?title=Secretary&diff=17654Secretary2019-03-07T02:34:33Z
Joldenburg6:

The secretary is responsible for the reservations of rooms and vehicles for RoboJackets, reporting attendance information to the College of Computing, and organizing general meetings every month, the leadership retreat, cookouts, and any other social events. The Secretary will also take minutes at core meetings and keep the wiki up to date.

== Tracking Membership and Attendance ==

As of Spring 2018, attendance is automated. At meetings, members will swipe their buzzcards and select a team; this information will be stored in my.robojackets.org under "Admin". The secretary will manage the distribution of card readers. Every two weeks, this information should be compiled and sent our CoC contact by adding to the shared OneDrive folder. If buzzcard readers aren't available, attendance should be taken on our official attendance sheets which will be entered by the PM present or the secretary.

== Meeting Minutes ==

The secretary need only take meeting minutes at core meetings. It is expected that any relevant information said during a core meeting should exist in the corresponding agenda, this means that the Secretary will write it in if it is not already in an officer's agenda.

== Booking Vehicles and Rooms ==

The secretary is responsible for booking rooms and vehicles for all RoboJackets meetings and competitions. Information for this can be found in [[How to Reserve a Room]] and [[How to Reserve a Vehicle]].

== Social Events ==

The secretary will plan the RoboJackets-wide social events, including the leadership retreat, semesterly cookouts, and occasional socials that take place instead of general meetings.

== Wiki Maintenance ==

The secretary is responsible for keeping the wiki page up to date and organized. This entails contacting PMs to update competition pages and doing general housekeeping throughout the year.
